Please note this booking policy contains important information regarding Nepal trek with Step By Step Treks & Adventure. It is essential that you read them carefully and understand them prior to making your reservation with us. Please note that while booking a trip, you are agreeing to be bound by these Terms and Conditions as well as the cancellation policy and certain limitations of liability. So that we (Step By Step Treks & Adventure) it is implied that you have read, understood and accepted all these terms and conditions and agree to abide by them.
Booking
To make your reservation, you must fill out the booking form and make an advance 30% deposit payment from the total package price. On receipt of your booking form and advance, we Step By Step Treks & Adventure will confirm your booking and send you an email with the details of your booked package accordingly in advance. The rest of the trip balance amount can be paid upon your arrival in Kathmandu or any time before the trip starts by bank transfer.
Summer Trekking Season – end June – mid September
While trekking is still possible this is the worst season due to the monsoon hitting Nepal at the beginning of July and lasting for approx. two months. During monsoon it is wet and hot. Rain falls almost every day, but for a limited number of hours. It is still possible to do trekking in Nepal, but the conditions are simply worse compared with Spring and Fall. During Monsoon season the Upper Mustang trek and the Manaslu trek are better than other treks in Nepal, as they are located in the Trans Himalayan Zone, which receives less rain.Average daily temperature, at 1,400 m, Jun: 28 degrees; Sept: 27 degrees.Average nightly temperature, at 1,400 m, Jun: 19 degrees; May: 18 degrees
Payment Methods
Booking the deposit can be wired by bank transfer, western union, or money grams, any means of transfer according to your convenience. The remaining balance can be cleared upon your arrival in Nepal by cash or credit card (credit card payment incurs a 4% extra charge). Then You can expect to receive an updated invoice from us within 24 to 48 hours of making an online bank transfer and as well as your invoice confirmation will be sent once we verify that we received the funds.

Cancellation Policies
Cancellation by the clients
Every Adventure Journey trip has fixed reserve on the time schedule departure within a booking confirmation. We understand things happen and plan change. We can generally reschedule you at no extra charge if your travel dates change but, please provide at least 7 weeks advance notice by written cancellation to Step By Step Treks & Adventure in Advance of your arrival date. The date on which the request to cancel is received by the Company or its Agents will determine the cancellation charge applicable
The cancellation charges are expressed hereafter as a percentage of the total tour price
– Cancellation 60 days or More before departure: Loss or Deposit.
– Cancellation 45-21 Days before departure: 50% of the cost of services booked.
– Cancellation less than 14-21 days before departure: 90% of the cost of services booked.
The Client is strongly advised to take out cancellation insurance at the time of making the booking.
Please note that no refunds will be made if you voluntarily leave a trip for any reason after the trip has begun. No refunds will be made for any accommodation, transport, sightseeing, meals or services not utilized.
Cancellation of a Tour by The Company -STEP BY STEP TREKS & ADVENTURE
The tour once confirmed will not be canceled unless we are forced to do some due to circumstances outside of our control such as major natural disaster, major political unrest or flight cancellation, consequences of strikes, industrial action, wars, riots, sickness, quarantine, government intervention, weather conditions, or other untoward occurrences. In such a case, Step By Step Treks & Adventure will refund the trip price only. Also In the event of cancellation of the booked trip due to reasons out of our control, you are free to reschedule your trip or take an alternative trip of the same category.
Step By Step Treks & Adventure shall not be liable to refund any additional expenses that you may have incurred (such as flight costs, insurance, accommodation and any other costs).
Flight Delaus in Lukla & Kathmandu
Weather conditions in the Himalayas can change rapidly and aviation schedules are not as reliable as you might expect. The flight between Kathmandu and Lukla where the Everest region trek starts is frequently delayed and may be canceled for the day or several days in succession. In the event your flight is canceled we will either re-book your flight for the following day or attempt to get you on a chartered helicopter. Guests are responsible for the extra costs of helicopter flights which might be $400 or more. If you end up taking a helicopter instead of your flight we will refund you $150 for the flight fare ($110 for Indian Nationals). Please collect the flight refund from the office in Kathmandu or Pokhara.
Here are some important information to keep in mind.
A
We will book your flight to Lukla soon after you pay the deposit for the trek and send us your passport details. Please send your details as soon as possible so we can book you on the earliest flight.
B
Helicopter rates vary as a rule and increase when demand increases. Offers for helicopter flights displayed in the airport apply to advance bookings. The rates are given from Step By Step Treks & Adventure may not always match what is offered locally on the mountain. Keep in mind that if an extra seat is available local staff in Lukla may attempt to sell the seat cheaper than we are offering. Extra seats, if not sold immediately, are basically a wasted asset so prices are always in flux.
C
The availability of helicopters depends on a number of factors including rescue requirements, prior booking commitments, and weather. We will do our best to arrange a helicopter but keep in mind that various factors are out of our control.
D
If your flight is canceled due to bad weather we will rebook your ticket for the following day. When we rebook your ticket it’s likely you will be on a lower priority flight during the peak trekking seasons. This is out of our control as the earlier morning flights will have already been booked months in advance.
E
The Airlines and Helicopter companies often reroute planes and change confirmation details depending on conditions. So that Updates from us reflect current conditions and plans frequently change.
F
If helicopters are limited in availability they may only be available to shuttle guests to Phaplu which is an airstrip in the valley below Lukla. We (Step by Step Treks & Adventure) can arrange the jeep from Phaplu to Kathmandu. Be prepared for a 10 to 14 hours journey on rough roads. If you have extra time in Nepal you might be better waiting an extra day at Lukla for the weather to clear.
Changes the trip changes the trip and price due to natural disaster, flight delay etc.
Tour and Travel with Step By Step Treks & Adventure requires a degree of flexibility, good humor and an understanding as unforeseen changes to the itinerary, modes of transportation and accommodation can occur at any time. Changes can also be cancellation and postponement of the trip. Such changes happen due to unpredictable circumstances such as flight delay, political unrest, bad weather, road blockage, any natural disaster (earthquake, landslide, flood, snowfall, avalanche, etc.) or other things beyond our control.
When such situations occur, the above-mentioned cancellation and booking changes policy doesn’t apply. hence, there will be no refund of the amount you have paid to us. And any extra cost occurred shall be borne by the clients. We also won’t be responsible for the loss of employment, injury, illness, and loss of life resulted from the situations beyond our control. However, we will fully assistance to make within our best and safety arrangement as possible. Also in the event of cancellation of the booked trip due to reasons out of our control, you are free to reschedule your trip or take an alternative trip of the same category. While rescheduling the trip, you will receive the full credit from your previously booked trip, and you might need to pay the difference amount if the price increased for the rescheduled Program.
Furthermore, single-room supplement charge will be imposed to the clients who don’t have another tour participant to share accommodation with. Our trip packages are based on twin-sharing accommodation. And we reserve the right to revise pricing rates posted in our marketing material under any circumstances or on the pressure of various external factors like changes in exchange rate, government action, etc which are far from our control.
Injuries Evacuation
Step By Step Treks & Adventure would not be liable for any injury/health conditions/emotional or other conditions suffered by the client during the trip. Similarly, our package cost does not include any personal insurance. Hence, we advise the clients to take adequate insurance packages, including medical emergencies and evacuation by Helicopter.
Travel Insurance
Personal travel insurance is not included in the prices quoted. So Travel insurance is compulsory for all Clients undertaking any tour in Nepal. To protect against unforeseen circumstances it is advisable to take a comprehensive travel insurance cover from your own country and before your arrival to Nepal. It should provide adequate protection for the full duration of the tour to cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance and adequate cover for baggage. We also recommend that the insurance cover includes trip cancellation, curtailment, and loss of luggage and personal effects.

Step By Step Treks & Adventure strongly encourages you to call your insurance company and check specifics before you arrive in Nepal. We don’t endorse any particular insurance company.
Note
If you are a US customer and using WorldNomads they are now requiring guests to pay evacuation
costs out-of-pocket in Nepal.
Early Termination of a Trek & Tour
Our Every booking of the trip was arranged on flexibility Itinerary within fixed date but it could be happening such sometimes the case that trekkers finish ahead of schedule or them end up stopping a trek early for health, sickness, death of family members, either voluntarily or involuntarily or personal reasons. If this is the case please understand that we do not offer any refunds for unused days on the trek. Our costs are the same as we have an obligation to pay our guides, Yoga Teacher and porters for the time they have committed.
Risk & Liabilities
Step By Step Treks & Adventure committed to provide the best services which will give you a “once in a lifetime” journey. So, we perform our duties honestly and seriously to achieve our commitment. However, the entire program is conducted strictly under the rules and regulation of their own policies.
Therefore, Step By Step Treks & Adventure and its related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstances such as government restriction, bad weather, road blockage, political unrest, cancellation of flight, delay, sickness or accident, any natural disaster (earthquake, landslide, flood, snowfall, avalanche, etc) or other things beyond our control. But our effort will continue to manage our best to take you to safety from any kind of critical issue. Any extra cost incurring thereof shall be borne by the clients on the spot.
Passports and Visas (Nepal)
The following are applicable visa fees upon entering Nepal. Ensure that you carry the funds with you before entering the country. A blank passport page and a passport size photo are also required for the application at the time of entry. We suggest you bring the photo with you although they can be obtained on arrival for a small fee. Your passport also needs to have at least 6 months validity on the date you are entering Nepal. Check this as soon as you book your trek. It’s no fun to figure this out at the last minute.

Refusal of Service
We reserve the right to refuse service either in Kathmandu or on the trek. Fighting, heavy drinking, verbal abuse of others in the group or of our guides or staff is unacceptable and is grounds for us to end our services at any time. Please be respectful to our staff and to other trekkers in the groups.
