Please note this booking policy contains important information regarding Nepal, Bhutan and Tibet trip with Step By Step-Adventure with Purpose. It is essential that you read them carefully and understand them prior to making your reservation with us. Please note that while booking a trip, you are agreeing to be bound by these Terms and Conditions including the cancellation policy. It is implied that you have read, understood and accepted all these terms and conditions and agree to abide by them.

Booking Policy (Nepal Trips)

To confirm your reservation, you must complete the booking form and pay a 30% deposit, which is non-refundable. Upon receiving your booking form and deposit, we will confirm your trip and send an email with full details. The remaining balance must be paid before the trip starts, either via bank transfer or cash/credit card upon arrival in Nepal. (Credit card payments incur a 3.5% surcharge.)

Booking Policy (Tibet and Bhutan)

To secure a booking, you may either complete the online booking process or request a manual booking form via email. A 50% deposit of the total trip cost is required at the time of booking.

PLEASE NOTE: This 50% deposit is NON-REFUNDABLE.

The remaining balance must be paid 20+ days before the trip starts, either via bank transfer or cash/credit card upon arrival in Nepal. (Credit card payments incur a 3.5% surcharge.)

Last-Minute Booking

  • Nepal Trips: We accept last-minute bookings up to 10 days before departure, subject to availability. Full payment is required at the time of booking, and this payment is NON-REFUNDABLE.
  • Bhutan & Tibet Trips: We accept last-minute bookings up to 20 days before departure, depending on availability. Full payment is required at the time of booking, and this payment is NON-REFUNDABLE.

Payment Methods:

  • Wire/Bank Transfer (Details will provided upon trip confirm or request)
  • Western Union or MoneyGram
  • Cash or Credit Card upon arrival

Cancellation Policy

Cancellation by the Client (Nepal trips)

If you need to cancel your trip, please provide written notice at least 3 weeks in advance. The cancellation fees are as follows:

  • 60 days or more before departure: Loss of deposit.
  • 45–21 days before departure: 50% of the total cost.
  • 14–21 days before departure: 90% of the total cost.
  • Less than 14 days before departure: No refund available.

Cancellation by clients (Bhutan & Tibet Trips)

  • If you cancel 30+ days before departure, we deduct 50% of the trip price, and the remaining amount is refunded. If only the 50% deposit has been paid, it remains non-refundable.
  • If you cancel less than 30 days before departure, there is a 100% cancellation charge (No Refund Policy).

Note: We strongly advise purchasing cancellation insurance at the time of booking. No refunds will be provided for unused services once the trip has started.

Cancellation by the Company:

We reserve the right to cancel a trip due to unforeseen circumstances such as natural disasters, political unrest, flight cancellations, strikes, or government interventions. In such cases, we will either reschedule your trip or offer an alternative trip of equal value. However, additional costs such as flights, insurance, or accommodation are not covered by us.

Rescheduling Your Trip

1.1 For Nepal Trips:

  • You must notify us at least 20 days in advance for rescheduling.
  • A $200 fee per person applies for postponements, preponements, or transferring your trip to another person.

1.2 For Bhutan & Tibet Trips:

  • You must notify us at least 30 days in advance for rescheduling.
  • A $500 fee per person applies for postponements, preponements, or transfers.

Flight Delays & Cancellations

Flights to Lukla (Everest region) and other remote areas are subject to weather delays. If flights are canceled:
  • We will rebook for the next available day.
  • If a helicopter is required, clients must cover additional costs ($500+ per seat).
  • Unused flight portions will be refunded ($255/185 standard tickets, $110 for Indian nationals).
  • Alternative ground transport (such as jeeps) may be arranged if necessary.

Unforeseen Changes & Extra Costs

Trekking in Nepal requires flexibility due to unpredictable conditions such as weather, roadblocks, or political unrest. If changes occur:

  • No refunds are provided for itinerary adjustments beyond our control.
  • Additional costs due to delays (extra accommodation, food, transport) are covered by the client.

Insurance Requirements

All clients must have comprehensive travel insurance covering:

  • Medical emergencies & helicopter evacuation
  • Trip cancellations & delays
  • Personal accident & repatriation
  • Lost baggage coverage

We strongly recommend purchasing travel insurance before arriving in Nepal.

Early Termination of a Trip

  • If a client chooses or is forced to terminate a trek early due to health issues, personal reasons, or emergencies, no refunds will be provided for unused days. Guides, porters, and support staff are paid for the full trip duration.

Risks & Liabilities

  • Government restrictions or travel bans.
  • Delays/cancellations due to weather, natural disasters, political unrest, or illness.
  • Loss, injury, or damage to personal property.
  • Unforeseen changes in itinerary due to conditions beyond our control.

We strongly advise personal travel insurance for added protection.

Passports & Visas

All travelers must carry a valid passport (minimum 6 months validity) and obtain a Nepal visa upon arrival. Visa fees:

  • 15 days: $30 USD
  • 30 days: $50 USD
  • 90 days: $125 USD

Code of Conduct & Refusal of Service

We reserve the right to refuse service if a traveler displays:

  • Aggressive or abusive behavior towards staff or fellow travelers.
  • Excessive alcohol consumption or reckless conduct.
  • Disrespect for local customs or responsible travel guidelines.

Respect for local culture, guides, and fellow travelers is essential for a positive experience.

How Our Travel Funds Support FourPOSE Charity

As a purpose-driven travel company, a portion of our earnings supports FourPOSE Charity, which focuses on:

  • Providing school materials & scholarships for underprivileged children.
  • Rebuilding and renovating schools in rural Nepal.
  • Supporting vocational training & community empowerment projects.

However, FourPOSE Charity initiatives take place AFTER trips are completed—we do not engage in charity work during treks to maintain the authentic travel experience.
